As the General Manager for a large condominium complex we have used VoteHOANow since 2018. We choose to go with them as we had bylaws resolutions that required 66% of the votes to pass. Excellent tool that 1) relieves the stress of making quorum, which is usually down to meeting time, 2) increased voting participation for our community by about 18%, 3) the ability to add the paper proxy votes to the system prior to the meeting allowed the vote outcome to be announced at the meeting and 3) since we are a condominium association and votes are based on percentage of ownership, the tabulation process was simplified to a quick addition of the two votes cast at the meeting.

Because voting is electronic, there was no need for uninstructed proxies. This makes the process more democratic. In my personal experience with in-person elections I have seen Presidents harvest uninstructed proxies to keep certain owners off boards. This is the first time that our Association used E-voting. This was a big election as the Association was voting on approval of three amended and restated governing documents. We did make quorum and each of our 3 governing documents were approved. In fact, we had 182 out of 206 votes that were cast. Of those 182 votes, 30 were by paper ballot and 152 were by E-voting. Thus, 83% of the Association votes were cast by E-vote in VOTE HOA NOW.
Another way of looking at the vote, is that 5 out of 6 Foothills Owners preferred electronic voting to the previous process of receiving paper ballots by USPS mail, completing and signing the paper ballots, and then returning by USPS mail. The E-vote process took 5 minutes. We have never had such a high percentage of returned absentee ballots in the Associations recent voting history.
Additionally, our Voting Manager was extremely responsive and helpful. When the Association needed a report on voting progress, she supplied it within a few hours. She addressed every question and request within the same day and was very courteous and helpful. VOTE HOA NOW made our first foray into E-voting a very positive experience. The Association will continue to use VOTE HOA NOW for future elections, including our upcoming Director election in a few months.

I would like to recommend Vote HOA Now for achieving quorum and voting for board positions and other initiatives. We are a small community with only 31 owners, but to achieve quorum at our annual meeting, our building manager literally sits in the lobby as owners enter the building during the weeks prior to the annual meeting getting them to sign proxies. It's A LOT of work! Then COVID enters the picture, and we didn't want to put our building manager in harms way. So we decided to attempt online voting and a virtual annual meeting. I researched several online voting platforms, and selected Vote HOA Now. I provided the details required on Monday, and by Thursday, our vote went live. The owners had until the following Monday to vote, and we achieved over 94% quorum, and we were able to certify our meeting! This is the highest quorum by far we have ever achieved! In fact, the board got so many compliments on how well we managed the voting, and the annual meeting with several owners stating that this was the best annual meeting we have ever had. Although we went to the online platform because of COVID, we intend to continue using this platform even when we can return to face to face meetings. There are silver linings in a crisis!

We are a subdivision in Montgomery, Texas with 5,300 properties, all owned by individuals and Our Trustee election processes have historically included mail-outs of candidate information and elaborate paper ballots to all property owners. Between printing and mailing costs, ballot tabulations, voting oversight and tabulation, our costs were running in excess of $12,000 per election. The opportunity to use the internet for voting was clarified by the Texas Legislature in 2011.
We searched for providers on the internet and came across several. votehoanow.com had very reasonable expenses and working with them to set up and execute our latest election was extremely easy and saved significant money.
