Easy Set-up and Management of HOA Board Elections Online

Step 1. Load home owner registration codes
This is as simple as uploading a single column CSV file spreadsheet with each homeowners registration code. Depending on your security requirements this can be any alphanumeric code they already know, in many HOA's the lot or unit number is all that's used. Some HOA's have account numbers for the homeowners that are random and they use those. If you don't have random account numbers and higher security is desired you can generate random codes to use or we can do it for you for a nominal charge. This registration code would then need to be communicated to the homeowners. We offer a print/mailing service that can send out postcards or letters with the codes.
Step 2. Set-up online board election or measure election
Create the online ballot. Link it to ballot measure information, candidate biographies, photos and supporting material. Set-up the rules for the vote including: start/stop date, quorum only option and write in candidate option.
Step 3. Hold HOA election
Send an email to all registered homeowners with a link to review the ballot and vote. From there everything is automated including email announcements informing voters when polls are opened/closed and daily reminders to registered voters who have not voted yet reminding them to vote online.
Step 4. Tabulate and Report Results
Vote HOA Now tabulates the results automatically so election officials can track online election results in real-time. There's no time-consuming or complex manual handling or counting of paper ballots — simply log in and quick view the results or download a csv file for use in Excel or a database. Plus, it's highly secure so you can be confident there's no vote tampering. Once polls are closed, election officials simply go online to get the final results including:
- The total number of yes and no votes on measures
- The total number of votes for each candidate
- A list of all homeowners who voted (How they voted is NOT reported)
